What we charge cards for

Olive Branch ABA charges cards only for patient responsibility amounts: copays, coinsurance, deductibles, and private-pay services. We never charge before services are delivered and the insurance claim, if any, has been processed. Prepaid private-pay amounts are the only exception.

How to request a refund or cancellation

Send all requests to our billing team in one of these ways:

Include the client’s name, the date of the charge, the amount, and the reason for the request. We confirm receipt within 2 business days.

Appointment cancellations

Please cancel sessions at least 24 hours in advance. Cancel by phone, by email, or through your BCBA or Client Care Coordinator. Olive Branch ABA does not charge cancellation or no-show fees.

Cancelling services or card authorization

• You may stop services at any time with written notice. Billing stops after the last session delivered.
• You may revoke card-on-file authorization at any time in writing. Revocation does not cancel balances already owed for completed services.

Refunds

• Overpayments and credit balances happen, for example, when insurance pays more than estimated. These are refunded automatically within 30 days of identification. You don’t need to ask.
• Billing errors (duplicate charges or incorrect amounts) are refunded in full once verified.
• Prepaid private-pay services not yet delivered are refunded in full when services are cancelled.
• Services already delivered are not refundable, except where a billing error occurred.

Timeframe

We review refund requests within 10 business days. Approved refunds go back to the original card within 5–10 business days. Your bank may take a few more days to post the credit.

Disputes

Please contact us before disputing a charge with your card issuer. Most issues can be resolved faster directly.
